Account and security

How you sign up and sign in, what you can change in your own account and your company's settings, and how notifications and roles work.

Your Truffle account holds two kinds of settings. The ones about you, such as your name and notifications, and the ones about your workspace, such as your company profile and branding. Both sit behind your name in the sidebar.

Signing up

Sign-up opens with one question, What brings you here?

  • I'm hiring starts the free trial sign-up. You enter your work email, create an account with your name and a password, set up your company profile (name, industry, size and hiring frequency), and confirm the free trial.
  • I have an interview is for candidates. They see You don't need an account, with tips for finding the invite email the company sent them. Their interview runs from that link, so candidates do not need an account.

You can also sign up with Google. Your time zone is detected from your browser when the account is created, and that includes accepting an invite from a teammate.

Every new workspace starts with a demo position that holds real candidate examples. A home page tracks your first steps: create a position, get a candidate in, and review and decide. Each step completes when you do the real thing. A See it in action preview shows a demo of the product.

Signing in

There are three ways to sign in:

  • Your email and password.
  • Google.
  • A one-time login code. Type your email and choose Email me a code instead on the login page. Check your email then asks for the 6-digit code Truffle sent you, with Resend code and Use password instead below. This works for every account, including ones that used to sign in with Google only.

After you sign in, Truffle takes you to the page you were trying to open, such as a candidate link a teammate sent you. For the steps, see Notifications and sign-in security.

Your account

In Settings, Profile, under You, holds your own details. You can update your name, job title, phone number and time zone. Your email address is shown but is read-only. To change it, use Contact us on that page.

Company settings

Company profile, under Workspace in Settings, holds your company’s details and branding:

  • Company name and website. Industry, company size and hiring frequency are set at sign-up and are not shown here.
  • Your logo, which you can replace or remove.
  • A primary brand color, which you can reset to the default.

Your logo and color appear on the pages candidates see, and every new position uses them as its default.

The Candidate email section holds Where replies go and, beside it, the Accommodation contact email. When a candidate asks for an alternative to the interview, the request goes to that person or inbox, kept separate from your reply address. If you leave it empty, requests go to the account owner. Owners and admins also see a card on Home that asks where accommodation requests should go and lets them save the address there.

The Careers page section at the bottom has your Careers page link and the Website widget, a snippet you paste into your site. For the steps, see Company profile.

Password and security

Security is where you change your password. You confirm your current password first. A new password needs at least 8 characters, with at least one uppercase letter, one lowercase letter and one number. The form labels the current and new password fields so password managers fill them correctly and offer to update the saved password.

For how Truffle protects your data, see Security.

Notifications

Notification settings control the emails you get when a candidate completes an interview. There are three options:

  • For all completed interviews.
  • Only strong matches, when a candidate’s Overall comes out Strong, or High on positions that measure a single signal.
  • Never.

The setting is per person, not per position, so each teammate picks their own. You also get an email when a candidate asks for an alternative to the video interview. See Notifications and sign-in security.

What’s new

The Help menu in the sidebar holds Help center, Send us a message, Share feedback and What's new. The What’s new panel lists recent changes to Truffle. Each entry can link straight to the part of the product it describes. You only see entries that apply to your plan and role. A dot marks the ones you have not seen yet.

Roles

Every person in your account has one of four organization roles. An Owner has complete control, including billing, security and user management. An Admin manages settings and teams, and sees all jobs. A Member creates and manages their own jobs only. A Viewer has restricted access and sees only the jobs they are assigned to. You set roles per person from team management in Settings. For how teams share positions and review candidates together, see Working as a team.

What it does not do

  • You cannot change your own email address. Support changes it for you.
  • Candidates do not need a Truffle account. Their interview runs from the link the company sends them.
  • Notification settings are per person. One teammate’s setting does not change anyone else’s emails, and you cannot set notifications per position.

We built an entire hiring metaphor to avoid saying “wait, don’t go.” Which is ironic because Truffle helps you get to the point with your candidate pool.
