Medical receptionist job description

The Medical Receptionist is the first point of contact for patients visiting a healthcare facility. This entry-level role involves greeting patients, scheduling appointments, verifying insurance information, and keeping the front desk running smoothly throughout the day.

This position is a strong fit for candidates who are organized, personable, and comfortable working in a fast-paced environment. Prior healthcare experience is helpful but not required — strong communication skills and attention to detail matter most.

The Medical Receptionist reports to the office manager and works closely with clinical staff to ensure patients are checked in efficiently and have a positive experience from the moment they walk in.

Requirements

  • High school diploma or equivalent required.
  • 0-1 years of experience in an office or customer service setting preferred.
  • Comfortable using computers and willing to learn EHR software.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive patient information with discretion and professionalism.
  • Reliable, punctual, and able to work a consistent schedule.
  • Friendly demeanor and ability to remain calm in a busy environment.
  • Responsibilities

  • Greet patients and visitors in a friendly and professional manner.
  • Schedule, confirm, and manage patient appointments using electronic health record (EHR) systems.
  • Verify patient insurance information and collect co-payments at check-in.
  • Answer incoming phone calls, respond to inquiries, and route messages to appropriate staff.
  • Maintain accurate patient records and update demographic information as needed.
  • Manage incoming and outgoing mail, faxes, and referral documentation.
  • Keep the reception area clean, organized, and stocked with necessary forms and materials.
  • Coordinate with clinical staff to manage patient flow and minimize wait times.
  • Handle patient check-out, schedule follow-up appointments, and provide visit summaries.
