# Setting up a position

> How a Truffle position works: the four-step wizard, questions, qualification checks, response settings, branding, live edits, and closing.

A position is one role you are screening for. You build it once, change it while it is live, and close it when the role is filled.

Each position holds the description, the screening components you switched on, the settings for how candidates answer, your branding, and its own shareable link. Candidates who come in through that link are scored against that position's criteria.

You build a position in a four-step wizard. Truffle drafts most of the content from your description, and you review it before anything goes live.

## Create a position

Start from Positions → `Create position` or Home → `Create position`. The wizard has four steps: `Define the role`, `Build position`, `Configure screening` and `Review and activate`. It works at phone width.

### Define the role

Add the title, the details and the position description. You can type or paste the description, copy it from a previous position, or use `Import from a link` to pull it from the public posting. Truffle reads it back as Thin, Workable or Strong. A position needs at least 200 characters of description to go live, and the step shows the character count as you type.

### The role brief

The `Role brief` is three optional questions:

- `What does winning look like in the first 90 days?`
- `Who would nail this position?`
- `Who would struggle, even if their resume looks great?`

Truffle passes your answers to the AI alongside the position description. They are used when it drafts question rubrics and summaries and when it scores candidates against your criteria. The role brief sits under the description in `Define the role` and also appears as its own section in `Configure screening`.

### Build the screen

On `Build position`, Truffle suggests which components to run from your description: resume scoring, qualification checks, a video interview and assessments. Each row has a plain reason. The interview and personality assessment length are set by role type and seniority. Everything stays switchable, and a position can run with assessments only, a video interview only, or both.

A budget bar on this step and the next shows the candidate's estimated time and the credits charged as candidates finish each step. It turns amber past 20 minutes and never blocks Next. On the review step it is read-only. This step also prices the two intake routes, "Apply first" and "One sitting", in credits and shows which one Truffle suggests.

### Configure and review

`Configure screening` shows one section at a time from a rail of the sections you switched on. Each section shows its state: `Drafting`, `Suggested, not reviewed`, `Needs you`, `Set` or `Reviewed`. Truffle drafts resume criteria, qualification checks, interview questions and assessment content in the background.

Resume criteria and qualification checks that Truffle drafted must be marked `Looks right` or edited before the position can go live. `Review and activate` lists whatever still blocks go-live as rows that link straight to the fix.

## Configure the screening

### Interview questions

When the video interview is on, Truffle suggests a starting set of questions from the position. How many it suggests depends on the role type. Each suggested question carries a competency label and a line on why it was chosen.

`Add a question` opens one drawer with two ways in. Browse or search Truffle's question catalog, or choose `Write your own`. If a search finds nothing, you can add your search text as your own question. The same drawer swaps out an existing question. You can reorder questions, and add or remove them on a live position.

- A screening interview holds up to 10 questions.
- A question you write can be up to 150 words.
- Each question can use a pre-recorded video.
- Every active question on a live position gets a scoring rubric, drafted from the full position description and your role brief answers.

### Compliance check on your questions

When you write your own question, AI reads it for potential bias risk while you type, for example wording that touches protected characteristics. Each question lands in one of three tiers: pass, warn or fail.

- A warned question shows `Potential bias risk` and a suggested rewrite. You can still add it with `Acknowledge & add`, and record an optional business reason. The flag stays on the question in your list.
- A failed question shows `This question can't be added as written` with the change it needs.

The flag is guidance. It is not legal advice.

### Qualification checks

Qualification checks are questions candidates answer before the interview, for must-haves such as work authorization, certifications or years of experience. Each check sets two things independently: whether the candidate has to answer it, and what the answer does.

- `Reject automatically` applies a rule you write. It is a fixed rule, not an AI judgement.
- `Flag for review` records the answer and marks it for you to look at.
- `Just collect it` records the answer and does nothing else.

The question types are Yes/No, numeric (a single value or a min and max range, with a unit label), select, multi-select (match any, all, none or exactly one option), date (including relative anchors such as "within the last 2 years") and free text.

If checks are on and the list is empty when you reach `Configure screening`, Truffle drafts a set from the position. Truffle proposes an outcome for each drafted check, which can be `Reject automatically` for a hard requirement such as work authorization. Drafted checks read `Suggested, not reviewed`, and the position cannot go live until you choose `Looks right` or edit them. Checks you write yourself read `Set`. While you write a check, a blocked Create button says what is missing, and the rule is read back to you in plain language.

A candidate's result reads the same everywhere: Requirements met, Requirements met with N flagged for review, or Auto-rejected with N of M requirements not met.

### Resume criteria and assessments

When resume scoring is on, Truffle drafts resume criteria from the description and you review them like qualification checks. Assessments are covered on their own page. ## Control how candidates respond

These settings live in the interview section of `Configure screening`. `Build position` and the position's Settings show a read-only summary that links back there.

- `Time to think`: preparation time before recording starts. New positions default to 30 seconds.
- `Time to answer`: how long a candidate can record.
- `Retakes`: how many times a candidate can re-record. New positions default to 1.
- `Answer on`: video or audio-only.
- `Hide the question text while recording`.

Under the interview timing you can also turn on Clarity read (beta). It is off by default. It reads the interview transcripts and shows a High, Mixed or Low read for whether answers address the question, are easy to follow and are specific, with quotes you can play back. It does not change any score, and it is English only. It is free during the beta and applies to interviews completed after you turn it on. ## Brand the candidate experience

`Candidate experience` on `Review and activate` controls what candidates see:

- Company logo and primary brand color.
- A welcome message, recorded, uploaded (MP4, MOV or WebM, up to 2 minutes and 50 MB) or as text.
- A completion message, the same way.
- A redirect URL after the candidate finishes.

Each interview question can also carry a recorded or uploaded video, from the question menu's `Add video`. Logo and color come from your company settings by default. Change them here to override them for this position only; the separate `Save as company default` option changes them for every position. ### Preview as a candidate

`Preview as a candidate` on the `Configure screening` rail, and `Preview position` on Review, open the candidate's front-door page in a new tab. They use a private preview link, so they work on a draft position that is not live yet. From there you can walk through the interview with your timing settings and branding. The preview link stays private to you until you share it.

## Change a live position

Edits to a live position do not reach candidates one field at a time. Open it from Position → Settings → `Edit position`. Your changes to questions, assessments, qualification checks, and welcome and completion messages are saved as a draft next to the live version. Candidates keep seeing the current version until you publish.

- A banner on entering the wizard says who last edited the draft and when, with `Review and publish` and `Discard changes`.
- An `Unpublished` chip shows on the Positions list and on the position's candidates header while a draft is waiting.
- `Publish changes` on Review lists the sections you changed and runs the same go-live checks as a new position.

The banner appears with your first change, and closing the wizard asks whether to keep editing, leave and keep the draft, or discard it. Candidates already screened keep the scores they got against the previous criteria. Truffle does not draft new content onto a live position when you open it. ## The positions list

Each row on the Positions list has a copy-link button that appears on hover, and a ⋯ menu whose items depend on the position's status.

- Open: `Copy shareable link`, `Get candidates`, Settings, `Duplicate` and `Close position`.
- Draft: Edit and Delete.
- Closed: Reopen, Archive and Delete.
- Archived: Unarchive and Delete.
- Expired: Reopen first, and no copy item, because the link no longer works.

On phones there is no hover, so `Copy shareable link` is the first item in the menu. The copied link is the same one `Get candidates` shows.

## Close and clean up

### Duplicate a position

`Duplicate`, in a row's ⋯ menu, creates a new position from an existing one. It copies the title, description, questions (including each question's video), response settings, qualification checks, role brief answers and branding. It does not copy candidates, the link, the status or integrations. Cloning a position this way takes under 2 minutes. If you only need the description, `Define the role` can copy a previous position's description into a new one.

`Duplicate` is offered on active positions. The copy lands in Drafts with the same title. When you open its Build position step, Truffle suggests the screen again, which can switch qualification checks off and clear the copied checks, so check that section before you activate. ### Set a deadline

A position can have an optional deadline, set when you create it or later in its settings. When the deadline passes, the position stops accepting new submissions on its own and switches to `Expired`, with its own pill on the Positions list and the position header. Candidates who open the link see an expired page. Deadlines handle time zones, including daylight saving changes. To extend a deadline, edit it before it passes: editing it after the position has expired does not take effect. Reopening an expired position clears its deadline.

### Close a position

`Close position` opens one screen. The reason is pre-filled from the position's records. If candidates are marked hired, it opens on "Hired from this position" and lists them. If not, you can pick who you hired there, more than one if needed, or choose "Filled another way" or "Not filling it right now". You can add an optional note for your team.

The link and careers page stop accepting candidates the same day. All candidate data stays available. A confirmation shows with Undo.

A closed position shows who closed it, when and why, with `Reopen position`. If something has to be fixed before it can go live again, reopening says what and links to `Edit position`.

You can start a close from the row menu, from `Close this position` in the position's Settings, or from the toast that appears when you mark a candidate hired. Closing does not email the candidates still waiting; the banner on the closed position counts them. ### Archive a position

Archive a closed position to take it out of the default list without deleting anything. Archived positions are hidden from the main view. Owners and admins find them on the `Archived` tab; the `All` tab leaves them out. Only the position's owner, org owners and admins can archive or unarchive.

### Delete a position

Delete removes a position from every view, filter and search. It is available on closed, archived and draft positions, and only to the position's owner, org owners and admins. The dialog warns that it is permanent, and the deleted position's link shows that the interview cannot be found. The demo position can be deleted whatever its status.

## What it does not do

- Truffle does not put a position live on its own. A description under 200 characters, or drafted resume criteria and qualification checks nobody has marked `Looks right` or edited, keeps it from going live.
- AI does not reject anyone. `Reject automatically` applies only a rule you write. Suggested checks default to `Flag for review`.
- The compliance check is not legal advice.
- A screening interview cannot hold more than 10 questions, and a question you write cannot run past 150 words.
- Editing a live position does not change what candidates see until you publish, and Truffle does not auto-draft content onto it.
- Duplicate does not copy candidates, the link, the status or integrations. An archived position cannot be duplicated.
- An archived position cannot be reopened until you unarchive it. Delete is not available on open positions.
